The resources and support offered to us by ACUI and ACUI Region 13 is provided to us by the wonderful work of volunteers. There are many opportunities regionally and internationally to be involved with our association as a volunteer. Volunteer opportunities offer ACUI members a rich experience that returns incredible value in leadership development and visibility within the profession. As any past volunteer will tell you, the experience is fun, challenging, and rewarding!

Elected position
REGIONAL DIRECTOR
The voting membership of Region 13 shall elect a Regional Director from among the full time staff members within the Region to serve for a two-year term. The incumbent may succeed himself/herself for an additional two year term if elected by the membership. No person will be allowed to succeed himself/herself after serving a four year consecutive term. The Regional Director must be from an ACUI member institution.
Responsibilities and Duties
- Serve as the chief administrator of the Region for the Association and as liaison between the Association officers, Central Office, regional members, and regional councils and task force groups.
- Appoint/remove Regional Educational Council Coordinators and task force and program/project committee chairs with the advice of the Regional Leadership Team. When Coordinator positions are vacant, the Regional Director will serve as the primary link to the Board of Trustees and Central Office.
- Attend all International Conferences of the Association; all pre- and post-conference meetings of the Regional Directors; all annual Region 13 conferences; all Region 13 Leadership Team committee meetings; all Regional Recreational and Quiz Bowl Tournaments; and any special meetings as required.
- Prepare and submit any and all required reports including an end of term report for the next Regional Director.
- Chair a minimum of three Regional Leadership Team meetings; at the Region 13 annual conference, Region 13 Recreation Tournament and Region 13 Leadership Team Summer Meeting.
- Assist in the planning of regional activities, keeping in mind the educational role and purpose of the Association.
- Director shall oversee the circulation of all regional mailings and assist the Publications Coordinator in producing Region 13 publications.
- Be familiar with the services and resources of the Association and encourage staff personnel to make themselves available as resource persons and speakers at conferences – both international and regional.
- Appoint a secretary as needed to take minutes of all Region 13 Leadership Team meetings.

Appointed positions
The Regional Leadership Team (RLT) is charged by the Region 13 Membership, through the Regional Director, to conduct the business and programs of ACUI Region 13.
Responsibilities and Duties of all RLT members include:
- The Regional Leadership Team shall assist in the formulation of Regional Conference plans.
- The Regional Leadership Team shall approve, plan, develop, and coordinate activities within Region 13 such as workshops, seminars, meetings, and other related activities.
- The Regional Leadership Team shall be responsible for selection of student scholarships and competition representatives to international ACUI functions (when provided through the Procedural Policies).
- The Regional Leadership Team shall be responsible for the review and final decision on Region 13 financial matters.
- The Regional Leadership Team shall act upon proposals and interim decisions of the Regional Coordinators.
- All Regional Leadership Team members must be either affiliated with an ACUI member institution, an Associate member of ACUI, or granted Emeritus status.
- Attend all regular Regional Leadership Team meetings as scheduled, unless excused by the Regional Director.
- Coordinators must possess knowledge, interest, and experience in the topical area of the respective position, and be committed to ACUI, its core values, missions, and abide by the constitution and by-laws of ACUI.
RLT Positions and Responsibilities:
Financial Coordinator
Associate Regional Director
The Regional Director shall appoint an Associate Regional Director to the Leadership Team. The Associate Regional Director will provide continuity and oversight to projects of the Leadership Team. She/he will also assume leadership roles on behalf of Region 13 in the absence of the Regional Director. Specific duties will be assigned by the Regional Director but not limited to:
- Directly oversee coordination and programming efforts of ACUI Sub-regions or ACUI programming areas.
- Supervise and/or lead the development of sub-regional or area programs.
- Oversee regional archives, historical documents, and scrapbooks.
- Coordinate regional development efforts in conjunction with the Regional Director.
- Attend all meetings of the Regional Leadership Team, regional business meetings, and sub-regional events as possible.
- Coordinate new Professional initiatives.
Conference Coordinator
Work closely with the Conference Host School Coordinator to:
- Liaison with the host city, campus, and state
- Coordinate all volunteer aspects of the conference related to hosting and serving.
- Manage and coordinate hotel and accommodations.
- Develop and implement tours and entertainment.
- Design, print, and coordinate promotional materials for the conference in close cooperation with the Conference Host School.
- Develop and oversee the budget for the conference. Pursue cooperatively with the Conference Host School sponsorship and corporate involvement.
- Gather and purchase materials for the host packet to be given at the conference information center.
- Reserve and coordinate the rooms and facilities as deemed necessary by the Conference Host School.
- Assist in the hosting of conference sessions and the collection/processing of conference evaluations.
- Provide any local information that is appropriate for conference delegates during the conference.
- Coordination of space and physical requirements of all exhibits or displays, including the Silent Auction and Graphics Competition Display.
Recreation Coordinator
- Attend all regional Leadership Team meetings.
- Attend the Regional Fall Conference
- Provide assistance and direction on Regional activities.
- Provide feedback to the Regional Director on Regional issues
- Maintain an accurate and up-to-date mailing list of campus recreation coordinators which supplements the Regional Directory and use it to distribute material circulated by the Recreation Committee.
- Evaluate priorities, make recommendations, and approve Regional budgets.
- Set, approve, and maintain the annual calendar of Regional activities.
- Should have a thorough knowledge of the College Bowl Program
- Serve as a member of the ACUI College Bowl Committee and is prepared to assist, if asked, in the National College Bowl Tournament.
- Shall assist in the development and delivery of a Two Year College Bowl Tournament.
- Shall attend any National College Bowl meetings as required.
- Should plan to conduct an informational session and a round of College Bowl at the Regional Conference
- Manage the Annual Regional Recreational / College Bowl Tournament including selection of a site, date and coordination of all planning/arrangements with the host school for housing, feeding, and financing.
- Arbitrate any tournament disputes or discrepancies in scoring, and be responsible for the general conduct of the tournament.
- Is responsible for all aspects of the Annual Regional Recreational / College Bowl Tournament including:
- Establishing a fee (a portion of which should be budgeted to accrue to the regional treasury) taking into consideration the requirements for advancing to the next level of competition.
- Preparing a budget for the tournament with the host school and the Regional Representative – to be submitted to the Leadership Team no later than six (6) months prior to the Recreational / College Bowl Tournament.
- Publish complete report of the tournament results with the host union, including a financial report and an adequate evaluation of the tournament. A copy of results should be sent to the Publications Coordinator for inclusion in the newsletter.
- Compiling and publishing the complete results of the tournament and sending copies to all member schools and the College Bowl Standing Committee of ACUI.
- Preparing financial report and tournament evaluation for the Regional Representative.
- Serve as a member of the International Recreation Committee under the guidance and leadership of the Recreation Committee Chairperson and the Directors who comprise the Recreation Committee.
- Maintain ongoing communications with members and non-member schools keeping them aware of Recreation and College Bowl programs, rules and regulations.
- Provide annual written reports to be included in the Annual Report by the Regional Director that is submitted to the Central Office liaison and Regional Leadership Team members. Also prepare an oral report for the business meetings and any Regional Leadership Team meetings or copies of a written report if unable to attend.
- Submit information for publication in Region 13 Newsletter.
- Submit ideas for sessions at the Annual Regional Fall Conference.
- Recommends individuals who are worthy of special Region 13 recognition.
- Assists in the development of regional goals and the action needed to obtain them (in particular, where regional programs are offered).
Awards and Scholarships Coordinator
Although any regional member is eligible to fill this position, we encourage the past Regional Director be selected to fill this role.
- Responsible for coordinating deadlines, nominations, selection committees, and award presentation for the:
- Pat Moonen Award
- Rodie/Keintz Award
- Curtis Smout Scholarship
- Establish annual fund raising goal and develop scholarship fund development initiatives.
- Act as the regional liaison with the Educational Research Fund
- Ensure regional members are nominated for International awards.
Two -Year College Coordinator
- Develop/establish working relationships with member two-year schools of Region 13.
- Work with non-member schools to promote participation in the activities of the Region and membership in ACUI.
- Provide information on two-year schools to the Regional Leadership Team in order to help Region 13 more effectively serve their individual differences.
- Provide educational content related to two-year schools for the education councils, the newsletter, and the Regional Leadership Team.
- Coordinate or present sessions on two-year school topics at the regional or international conference to help increase awareness of two-year schools and their unique characteristics.
- Provide guidance or support to the Conference Coordinator, Conference Host School Coordinator, and Recreation / College Bowl Coordinator on the recruitment and involvement of two-year schools.
- Monitor award programs and leadership positions in the region and advocate for the effective representation of two-year schools.
Regional Publications Editor
- Serve as the Regional Publications editor and provide a minimum of three (3) newsletters/publications per year (April, August, December)
- Contact Regional Leadership Team of the Region at least three (3) times per year to solicit information about relevant regional activities.
- Contact sponsors of workshops, members of national committees, members/officers of related associations to obtain information related to member interests/activities.
- Read all current publications of the Association in order to report, summarize, or reinforce information to all members.
- Encourage members to write articles about professional activities or information for the Western Wire, Bulletin, or other ACUI publications.
- Prepare a budget to cover costs of preparing and distributing a minimum of three (3) publications to all staff and designated student leaders at each member institution, all Regional Directors and regional newsletter editors, and the Leadership Team of the Association.
- Serve at the regional conference as a resource person on the specifics of publicizing programs and events.
- Submit regional newsletter to Earl Whitfield Regional Newsletter Award through the International office.
- Maintain an accurate mailing list for the Region, making labels available when needed for Regional business.
- Update and revise as necessary the regional membership brochure.
- Work with the Information Technology Coordinator to electronically activate and distribute Western Wire.
- Assist the Regional Director and other members of the region with any additional publications, Pat Moonen award, regional recreation tournament (including College Bowl or regional conference promotion, etc).
- Provide an annual written report to be included in the Annual Report by the Regional Director and submitted to the Central Office liaison and Regional Leadership Team members. Also, prepare an oral report for the business meetings and any Regional Leadership Team meetings or copies of a written report if unable to attend.
- Provide a written report that includes a copy of the publication budget, upon leaving the position, listing projects and activities accomplished, with recommendations for the next Coordinator. Copies of the report should be filed with the Regional Director and the incoming Coordinator.
Information Technology Coordinator
- Create and maintain the Region 13 website.
- Assess, adapt, and implement appropriate technological changes that meet the technological needs of the Region.
- Track and disseminate information of emerging technologies to the regional membership.
- Serve as a resource in all areas of electronic communication.
- Work in conjunction with the Publications Coordinator and Central Office to compile and distribute an email directory to regional members.
Educational Council Coordinators
The four council members will collaborate in order to provide educational opportunities focused on ACUI’s eleven core competencies to the membership of Region 13. Educational opportunities will include: drive-in sessions, educational sessions at regional conferences, webinars, and educational resources on the Region 13 website.
Action Items:
- Encourage sub-regional drive ins
- Council members can create a planning document for regions to plan this sub-regional conference.
- Keep Region 13 website updated with current information on ACUI’s Core Competencies, and educational resources.
- Hot Topics- The council members will provide and solicit hot topics that should be covered through educational sessions at the regional conference, as well as drive ins, and possible future webinars.

- Keeping full-time staff vibrant and motivated
- Programming on a smaller budget

Membership Coordinators
The Regional Membership Coordinator shall provide support and services to Region 13 members as well as strive to recruit new members and retain current members. Duties shall include but are not limited to:
- General duties:
• Attend all Regional Leadership Team meetings
• Attend the Fall Regional Conference
• Offer support and resources to members about ACUI programs and services
In collaboration with the ACUI National Office Director of Membership & Sales:
Recruitment
• Identify potential new members and coordinate outreach
• Coordinate non-member activities (i.e. informal reception, campus visits, brown bag lunch, webinar, etc.)
Retention
• Coordinate proactive renewal activities (i.e. sub-region events, webinars, tours, etc.) and promote them to the region via social media, calls, blogs, etc.
• Track and maintain regional membership rosters (i.e. update website, send renewal reminders, etc.)
Action Items:
• Develop regional recruitment & renewal letters
• Update membership roster on new website
• Organize outreach activities in each state (i.e. sub-regional conference, invitation to webinars, ACUI events, etc.)
• Promote regional events (i.e. Recreation Tournament, Poetry Slam, NAQT, etc.)
• Provides updates to the Regional Leadership team
• Set up conference call with Director of Membership & Sales
• Invite non-member institutions to attend or view Regional Conference
